Warehouse Guidelines for Vendors

To ensure smooth and efficient processing, all vendor shipments must follow Phase 3’s shipping and receiving guidelines. Adhering to these requirements helps avoid delays, refused deliveries, additional fees, and inventory discrepancies.

Receiving Process

To ensure accurate and efficient intake of your shipments:

  • Tracking information must be provided prior to delivery

  • Goods will be counted and inspected upon arrival

For large freight shipments, advance coordination is required to ensure proper receiving capacity.

Shipment Compliance & Requirements

All shipments must follow the guidelines outlined in this document.

Shipments that do not meet these requirements may not be processed upon arrival.

  • Failure to comply may result in:

    • Refused delivery

    • Return to sender at sender's expense

    • Delays in processing and inventory availability

    • Additional handling and labor charges

  • Phase 3 reserves the right to refuse the delivery without prior notification and return non-compliant shipments. Charges may apply to offset additional handling, corrections, or repacking using our $100 hourly rate.

  • Delivery Notification & Inspection

    • A minimum 48-hour notice is required for all freight deliveries

    • All shipments are inspected and counted upon receipt

    • Discrepancies will be reported within 48-72 hours, for compliant shipments 

  • Damaged Shipments

    • If items arrive damaged:

      • Phase 3 will notify the sender within 48-72 hours

      • The sender must either:

        • Provide a return call tag within 48 hours, or

        • Approve disposal or recycling

        • Additional charges may apply, depending on material, size and quantity
  • Packing List & Labeling

    • Packing List Requirements

      • All shipments must include a packing list attached to the outside of the shipment. The packing list must include:

        • Item name(s)

        • Quantity ordered & shipped

        • Item number/SKU

        • Unit of measure

        • Carton pack details

        • Total number of packages shipped.

        • Phase 3 PO#

      • If multiple boxes are included, contents must be identified per box.

    • Shipping Label must include:

      • Vendor company name

      • Phase 3 PO#

  • Packing & Pallet Requirement

    • Maximum skid size: 40” x 48” x 60”

    • Skids exceeding this size may be rejected or repacked at additional cost

    • Shipments over 20 cartons must be palletized

    • Individual boxes must not exceed 50 lbs

    • Apparel (if applicable) must be separated and clearly labeled
